Building a nationwide ordering platform for 5,000 healthcare professionals

A healthcare firm needed to move its genetic test ordering process online. Physicians across Japan were submitting orders through a patchwork of faxes, phone calls, and email attachments — a workflow that introduced transcription errors and made tracking difficult. eSolia designed, built, and launched a cloud-based order entry system on the PROdb platform that's now used by roughly 5,000 healthcare professionals nationwide.

What Needed Solving

The client's existing order workflow was manual. Physicians would fill out paper or PDF forms, send them by fax or email, and staff at the healthcare firm would re-key the information into internal systems. Errors crept in at every handoff — misspelled patient names, wrong test codes, incomplete forms that required follow-up calls. Turnaround times suffered.

The firm also lacked visibility into order volume and status. There was no dashboard, no searchable history. When a physician called to check on a test, someone had to dig through files.

The client wanted a web-based system that physicians could use directly — no intermediary data entry, no paper forms.

What We Did

We built the system on eSolia's PROdb cloud database platform, which gave us a head start on the back-end infrastructure (authentication, data modeling, API layer, hosting) without starting from zero.

The order entry application lets physicians log in, select test types, enter patient and specimen information, and generate standardized order documents. Form validation catches errors before submission — required fields, format checks, logical consistency between test type and specimen type. The system produces printable order sheets that accompany physical specimens to the lab.

The registration portal came next. We built a separate website where healthcare professionals register for access to the order system. This included anti-spam measures, an invitation-based onboarding flow with email verification, and a custom furigana-to-romaji conversion API so that Japanese name entry worked smoothly for both the registration database and downstream systems that required romanized names.

We also built a localized marketing website for the client, integrated with PROdb, to support the product's market presence in Japan.
